Streamlining operations for a healthcare provider with RPA

Improve and modernize operations in healthcare

A leading healthcare company has grown to become one of the largest providers of post-acute care, operating specialty hospitals, outpatient rehabilitation centers, and occupational health centers throughout the United States. Their brands are some of the most powerful in the healthcare industry, representing quality and safety, as well as excellence in patient care and outcomes. To keep pace with their growth, the company wanted to automate and modernize their business operations with the UiPath platform.

Legacy technology, rising expectations

The healthcare company wanted to automate their Epic ClinDoc business process to streamline their operations. ClinDoc is a documentation module that includes assessments, medical information, clinical notes, patient monitoring, care plans, and more. The company leverages it to accurately capture and store patient data and report where needed. Unhappy with their existing robotic process automation (RPA) provider because they use legacy technology, the company looked for a more innovative partner that leveraged UiPath. CAI is a licensed UiPath reseller, so the healthcare company looked to our team to provide experienced consultants to develop and test automation scripts.

Working alongside the company, the CAI team successfully developed and tested UiPath automations for ClinDoc. The team built automation scripts, ran test scenarios, and captured test data to validate that the automation met expectations. CAI developers provided progress demonstrations along the way and communicated them with key stakeholders within the healthcare company. Communicating openly and often allowed the CAI team to make improvements and corrections throughout the process.

Once the automations were developed, the CAI team performed user acceptance testing (UAT) to ensure satisfaction and successful deployment. They also developed an automation runbook for each automation they built and reviewed each one with the IT and production support staff at the healthcare company.

With the new UiPath automations in place, the healthcare company was better equipped to serve their customers in an efficient manner.

Adapting to changing requirements

After successful completion of the ClinDoc automation project, the healthcare company found out that one of their providers would no longer support thick client integrations—in other words, they would have to convert their existing automations to work through a new web interface. If they didn’t migrate, they would have to return to manual processing, drastically slowing down operations. With this knowledge and knowing they must complete the migration in a short timeframe, the company enlisted CAI.

There were eight in-scope UiPath automations that had to be converted to work with the Casamba Clinic Documentation and Billing web interface and be deployed quickly in order to prevent business interruption. Working alongside a vendor building web screens, the CAI team managed the conversion of these automations, including:

  • Claims transaction processing
  • Insurance carrier updates
  • Account consolidation
  • Database updating & consolidation
  • Billing normalization
  • Patient intake processing
  • Update claim status
  • Worker’s comp review

CAI provided guidance on requirements and worked closely alongside the web screen vendor to identify and correct bugs throughout the process. Doing so allowed for a more streamlined process and successful deployment.

Achieving optimal outcomes

Throughout the engagement, the healthcare company and CAI team aligned on thresholds that must be met for speed and performance of the automations. For example, the baseline for claim transaction processing was 61 seconds—the CAI team was able to achieve it in 60 seconds. Achieving this speed on a webpage is difficult, so both the CAI team and the healthcare company were happy with the results.

With automations successfully built, deployed, and migrated, the healthcare company is better able to serve its customers in an efficient manner. The CAI team worked closely alongside key stakeholders, both with our client and with their additional vendors, to prioritize quality and ensure that all expectations were met or exceeded.
